Everything you need to know about After Three Club

About me

– I am married and a mother of 2 boys aged 30 and 25.

– I have run the After 3 Club for 28 years

– I have the following qualifications: Take 10 for Play/NVQ Levels 2 and 3 in play work, City and Guilds Levels 1 and 2 in Learning Support, Professional Managers Programme accreditation (Level 5 Qualification) and holds an NVQ teaching assistant level 2 & 3 qualifications and worked in school for 3 years in this position

– Additional courses in Risky play, Workplace wellbeing, Understanding the anxious
child, Safe handling/restraint.

– Running the ATC for 28 years

– Leader and organiser on residential kid’s camps and teenage youth events

– Children’s mentor

– Voluntary classroom assistant at Barnwood Primary School

– Emergency cover dinner lady at Barnwood Primary school

– Co-ordinator/Team leader on overseas missions to Belarus to work with Orphans & foster families

Governing body

– We are fully registered with OFSTED, under the 1989 Children’s Act and comply
with the National Standards.

– We are registered to care for 70 children per session.

– We received a “MET” all requirements in our last inspection.

Where are we

– We run from the main hall at Abbeymead Primary School from 3pm to 6pm, term time only.

– We also comply with all EYFS Foundation stage requirements.

– We are a well-established club and have been running for 28 years.

– We have an excellent reputation of caring, professional and affordable childcare.

– We aim to provide a fun, friendly environment, which safeguards your child’s well-being where your child can enjoy his or her free time after school.

– We aim to fully incorporate the “Play work principals” into everything we do.

– At ATC the emphasis is on free choice play. We have a wide selection of toys and activities on offer each day.

– We mainly run from the school hall. We have an additional room that we use for the game’s consoles, tablets and laptop. When we cannot use the hall we run from classrooms.

– We have the required public liability insurance8

Staff

– All staff are fully checked and will hold an enhanced DBS disclosure.

– All staff will be either qualified, have relevant experience, will be working towards a relevant childcare qualification or will be given full training.

– We have first aid, food hygiene and child protection trained staff.

– We comply with the child ratios set by the National Standards which are: 1 member of staff to every 8 children under 8, there are no set ratios for over 8’s but we aim to have 1 member of staff to every 10/12 children over 8.

– Children are fully supervised at all times both indoor and outdoor.

– Staff are aware of all relevant health and safety procedures and we complete regular risk assessments.

Attendance

– One of the great things about ATC is that your children don’t have to leave the school premises.

– All children from Reception to year 2 will be collected from their classrooms and taken to the hall or brought to the hall by school staff.

– From year 3 onwards the children make their own way to the hall.

– A daily register is taken. Parents/carers are required to sign their children out when
they collect them at the end of the day.

– It is vitally important we know where your children are so we must be notified prior to the end of the school day if children will not be attending the club. There is a £10.00 non-notification fee.

– The children bring their coats and bags to the club and we have an area where they are kept until they are collected. If children leaves belongings in school we cannot take them back to get them after 4.15pm as cleaning takes place.

– Whilst every care is taken, the children’s personal possessions are not covered by the club’s insurance policy and no responsibility can be accepted for any loss of or damage
to personal property, clothing, money etc. Children should not bring in any of their own toys or valuable possessions. Mobile phones are not permitted at ATC, if children have them they must stay in their bags.

– On a daily basis we offer a variety of healthy snacks which include:
Squash/water/milk, fruit, soup, toast/bread, yoghurts/mousse, pasta, a variety of cereals, toast with toppings (baked beans/spaghetti/ravioli). 

– We can cater for special dietary needs with prior notification (See registration form)

– The children have a “snack card” with their name on that they hand in when they have snack, this enables us to monitor what the children eat and keep you informed.

– The snack bar runs from 3.20 to 4.45pm and the children are free to come up when they like.

– Drinks are available throughout the whole session.

– Please notify us of any allergies and we will cater for these.

Outside play

– We have use of the front playground which has lots of floor games – the pirate ship, the back playground which has a trim trail, climbing frame and shaded decked area and the quadrangle.

– We also have grassed areas in each playground.

– We have a good selection of outside sports equipment.

– Children put a photo card on the ‘outside board’ and take it off again when they come back in, this helps us keep track of the children.

– We are not permitted to apply sunscreen so please make sure that your child has their own and we can supervise them when they apply it.

– Please make sure that your child/children have a sun hat with them when we have hot weather, or they may not be allowed outside to play.

– Also, a coat, hat and gloves in cold weather.

– In line with the play work principals, we may allow the children to participate in low level risky play e.g. climbing trees/walking walls under supervision.

Crafts

– We plan crafts during the summer holidays so that we have a new craft
each week of the school year.

– Craft is a free choice activity.

– We have a wide and varied selection of arts and craft resources that are available to the children every day if they do not want to do the planned craft.

– We do a variety of edible crafts too.

– For painting activities, aprons or old T shirts will be provided but we
cannot guarantee that paint will not get onto uniforms.

– We have set crafts throughout the year to inform and celebrate religious festivals and cultural and alternative celebrations.

Consultation methods

– We value your child’s views and ideas. We have an ATC children’s
council.

– They meet once every term for discussions. The meetings are child
led and they set the agenda.

– They have a small budget that they manage.

– They feedback to us and we endeavour to meet their requests where we can.

– Councillors have a badge and they help to collect the KS2 children and
buddy with the reception children and new children joining ATC.

Toys, equipment and activities

– It is important to us that your child chooses what they want to play with.

– We set up tables with toys and activities, but the children have access to the cupboard at all times for free choice play.

– We have a large cupboard in the hall for easy access plus a storage box in the front playground where we keep the outside play equipment.

– We use the Rainbow room just outside the hall for the game’s consoles, laptop, tablets and DS. We use a rota and children have a limited time on these .

– We continually inspect all the toys and equipment to make sure it is safe to use.

Positive behaviour

– At ATC we have our own rules which have been set by the children.

– In line with school we have a red/yellow card system for not keeping the ATC rules or other unacceptable behaviour.

– We have a colour coded board reward chart on the wall by the
Manageress’ desk. This is used to write the children’s names on the
Silver, gold, yellow or red cards. A yellow card is a warning, 2 yellow cards in one week will result in a red card. Parents will be notified if their child has been put on a Red card and this
will result in a week ban from the child’s favourite activity.

– For good behaviour, being polite, tidying away etc the children’s name are put on the silver or gold card and they receive a small sweet when they go home.

– At the end of each term Prizes and a certificate are given to the child from each year group with the most silver and gold rewards. Then a cash prizes of £5 and £10 are given for 1 st, 2nd and 3rd overall winners.

– We will keep in communication with you about your child’s behaviour.

– At ATC the emphasis is on free play and it is a much less structured
environment than school, but we still expect a good level of behaviour
and respect for staff in line with the behavioural expectations of the
school.

– Repetitive disrespect of staff may result in exclusions being put in place.

– Purposeful neglect or damage to toys and equipment is not tolerated
and may result in us asking your child to replace what they have broken.

Security

– The security and safety of your children is our priority.

– As the ATC runs from the school site there is already good security with CCTV cameras and keypad entry system.

– We use the main door into the hall for access to the ATC. The
manageress will always be nearby to supervise access and signing out.

– When we are outside the gates are always closed and we always have
the required number of staff supervising the children.

– We use photo cards and an outside board for outside play to keep track
of the children.

– Children will only ever be allowed to leave the club with parents or other relatives/carers that have been listed on the registration form.

– Prior notification must be given for anyone else to be able to collect
children from ATC.

Policies and procedures

– We have all the full policies and procedures required within the National Standards to include: Health and safety, Child protection, Anti-discrimination, Equal opportunities.

– A folder holding all our policies and procedures is available which
parents are welcome to view at any time. Copies are available upon request.

Keeping you informed

– To keep you informed we have our own notice board just inside the hall.

– This is used to display all relevant documents and information.

– We also use this board to display photos of recent activities.

Reception and new children

– The Owner/Manageress, Louisa Lowe goes into the Reception classes in September a few times a week prior to the children going full time. She meets the children and observes and plays with them so that they have a familiar face when they come to ATC.

– The reception children and new children coming to ATC are “buddied” up with one of the ATC councillors (usually YR 4-6 children) who show them round and help them to settle in.

School relations

– The After 3 Club has a legal contract with the school and the Gloucestershire county council to provide after school care.

– We have a very good relationship with the school and staff.

– The Head teacher, Mr Julian Pass is always available for support and communication.

Community

– We aim to build and maintain positive relationships with parents and carers.

– On the registration form you have an opportunity to share any relevant information with us about your child to help us meet your child’s needs.

Charity

– We are supporting a children’s charity “TOP KIDS” in Belarus which provides loving and caring family homes to orphaned children.

– Louisa Lowe has had the privilege of visiting Belarus almost every year since 2011 and leads overseas missions to support foster families and work with orphans.

– At certain times we will ask for donations of good quality clothes and toys. Also, the children may have an opportunity to write to the childrenthere if they wish.

Registration

– When booking a place at ATC you will be required to complete the attached registration form.

– Places are booked on a permanent, term time basis.

– Fees are due if your child is off sick, at a school run club or if you take them on holiday during term time.

– One month’s notice is required to cancel your place.

– One month’s notice is required if you wish to change your booked day.

– Fees are still due if the school is closed due to adverse weather conditions or short term COVID related closures.

Payments

– Payment of two month’s fees (first month’s fees plus one month’s notice paid in advance) will be required along with the completed registration form on booking your child’s place at ATC.

– This is non-refundable.

– The one month’s fees paid in advance means that when you finally give your months’ notice your last month has already been paid.

How fees are caculated and payment methods available

– Fees are worked out by the number of sessions per school year your child attends and this amount is divided into equal monthly payments. Eg –  Full time would be 190 days at the sessional cost, this amount is divided into 12 equal monthly payments (September to August). If your child starts ATC at another time in the year fees will be divided by the number of months left in the year.

– Standing order over 12 months is the preferred method and is also
easier for setting up with your bank.

– If you want to pay by bank transfer over 11 months this can be
accommodated.

– The ATC bank details will be given to you and you will need to set
payment up with your bank.

– ALL PAYMENTS MUST BE MADE NO LATER THAN THE 7 TH OF THE MONTH. 

There is a £10 per week late payment fee for any late payments.

– In July each year you will be given a letter notifying you of the standing order amount for the following school year, this may vary depending on diary dates, fee increases etc.

– NB: Please note when notice is given, because payments are pro-rated there may be an outstanding balance to pay.

– Shifts may be able to be accommodated but if on week on, week off basis, sessions woild need to be booked until 6pm.

Only full sessions 3-6pm can be booked if you only require one day a week.


Childcare schemes and vouchers

– Payment by Childcare voucher scheme is accepted but payments must be paid no later than the 7th of every month.

It is easy to set up with new childcare voucher schemes so please ask if I am not registered with the one you need to use.

Additional charges

– LATE PAYMENT FEE: £10.00 per week for outstanding fees.

– LATE COLLECTION FEE: £10.00 for collection after 6.00pm

– NON-NOTIFICATION FEE: £10.00 for not informing us that your child will not be attending ATC.

– PERSISTENT LATE PAYMENT OF FEES MAY RESULT IN SUSPENSION OR TERMINATION OF YOUR PLACE AT ATC.

– LATE PAYMENT FEES CHARGED AT £10.00 PER WEEK THEY ARE OUTSTANDING.

– IF FEES REMAIN OUTSTANDING OVER A SCHOOL HOLIDAY PERIOD/END
OF TERM THEN THEY ARE CHARGED AT £20.00 PER WEEK.
